Custom AI agents and workflow automation for the work your team still does by hand.

We design, integrate and deploy AI agents for owner-led small and mid-size businesses, connected to the software you already use. You talk to the engineer who builds it, and we start with one workflow.

One conversation, no slide deck. If we're not the right fit, we'll say so on the call.

What we build

Four things, done end to end. Each one starts with a job your team does today and ends with software running in your business.

01

Custom AI agents

Agents that read email, forms, documents or CRM records, decide the next step against your rules, and draft, route, update or escalate. A person approves wherever you choose.

Routine decisions get handled; the judgment calls still reach your team.

02

Workflow automation

When two systems don't talk to each other, someone on your staff is the bridge. We replace that bridge with software: triggers, approvals, notifications and hand-offs between the tools you already pay for.

Work moves on its own, and you can see where it is.

03

Integration with your existing systems

The agent connects to the software your team already uses (your CRM, accounting system, email, shared drives, scheduling tools) through their APIs and exports. If a project needs its own screen, such as an approval queue, the scope says so up front.

You keep the tools you have.

04

Production deployment

We put it live in your business, not in a demo. What the agent may change is agreed up front, and anything with money, legal or customer impact waits for a person to approve it.

A system your team uses every day.

Not sure which one you need? That's normal. Most projects start as "this part of the week is a mess" and we work back from there.

Who you'll work with

Hearth Beacon is founder-led. When you get in touch, you talk to the person who will design and build your system.

Ilya Klipinitser

Founder, Hearth Beacon LLC · Atlanta, GA

I design and build AI agents and the automation around them, and I write the code myself. My background is in project management, so every project starts with how the work actually runs today, not with the technology. I work with owner-led businesses because the person who feels the problem is usually the person on the call. I stay through launch, and if something isn't worth automating, I'll tell you.

Recent work

Property management

Dwellium (Qualia)

A multi-property real estate operator

The problem
Email, work orders, lease renewals and vendor paperwork were spread across inboxes, spreadsheets, accounting software and task boards, with people carrying every hand-off.
What we built
An operations platform where AI agents sort incoming email, flag leases nearing expiry, catch gaps in vendor insurance paperwork and keep the team's Trello boards in sync. Every action the AI proposes goes to a person for approval before anything changes.

Leaf It To The Pros

What we built
Their website: services with starting prices, before-and-after photos, customer reviews, a quote form and one-tap calling.
What changed
More new customer requests than they could take on.

Where it pays off first

The best first projects are repetitive, rule-heavy jobs with clear inputs. These are the usual starting points.

Customer service and intake

Answer the common questions and route the rest, using your own material, not the open internet.

  • Answer product and policy questions
  • Qualify inbound requests
  • Book appointments and hand off to a person when it matters

Back-office operations

Stop re-typing the same information into three places.

  • Order and invoice entry from emails and PDFs
  • Quote follow-ups
  • Syncing records between systems

IT and internal support

Get routine requests to the right person with the context attached.

  • Ticket triage
  • Access requests routed for approval
  • Runbook lookup

Documents and knowledge

Ask a plain-English question and get an answer with the source.

  • Search contracts, SOPs and past jobs
  • Answer internal policy questions
  • Draft from your templates

If your work isn't listed, the pattern usually still fits: repetitive work, several systems, and a person acting as the glue. Tell us what you want automated

How it works

Four steps. You're involved at each one.

  1. Pick the job

On the first call we find the one workflow worth fixing first, and write down what "done" looks like: who uses it, what goes in, what comes out, and what must never happen.

    You provide
    A call and honest answers.
    You get
    A written one-page scope.
  2. Gather the information

The agent is only as good as what it can see. We get access to the records, documents and real examples it needs, and flag what's unusable. We work from the systems you already have.

    You provide
Access to the relevant systems and a few real examples.
    You get
A working prototype on your real examples.
  3. Wire it in

We connect the agent to the tools your team already uses. What it's allowed to change is agreed up front, and anything with money, legal or customer impact waits for a person.

    You provide
Someone on your team to test it.
    You get
The full workflow running on test data before it touches live work.
  4. Go live

We deploy it to production. After launch we stay on to fix what real use turns up. Ongoing support, what it covers and what it costs, is agreed in writing before go-live.

    You provide
    Feedback.
    You get
A system running in your business.

Questions business owners ask

What does an AI agent actually do for a small business?

It reads an input (an email, a form, a document, a CRM record), decides the next step against rules you set, and acts in the tools you already use. Unlike a chatbot, it does work rather than only answering questions. A typical example: a quote request arrives by email, the agent creates the CRM record, drafts a reply from your price list, and a person approves it before it goes out.

How much does a first project cost?

Every project is priced after the first call, based on how many systems it touches, how many exceptions it must handle, and where people approve its work.

Do we have to replace our CRM, accounting or other software?

No. The agent works through your existing systems' APIs and exports. If a system blocks automation, we tell you on the call rather than work around it badly.

What happens to our data? Is it used to train AI models?

Your records stay in your own systems unless the design needs a copy, such as a search index, and we agree on that before we build. The agent sends an AI provider the text it needs to do its job. Before we build, we agree which provider it uses and go through that provider's data terms with you, including whether anything can be used for training.

How is an AI agent different from Zapier or Make?

Rules-based automation tools move structured data from one app to another. An agent handles unstructured input (a free-text email, a scanned PDF) and makes judgment calls within rules you set. Many projects use both.

What if the agent makes a mistake?

It will, sometimes, and we design for that. Anything with money, legal or customer impact gets a human approval step, and the agent passes anything it isn't sure about to a person.

Who maintains it after launch?

After launch we stay on to fix what real use turns up. Ongoing support, what it covers and what it costs, is agreed in writing before go-live.

Do you work with companies outside Atlanta?

Yes. We're based in Atlanta and work remotely, so location isn't a barrier. Leaf It To The Pros, for example, is in Knoxville, Tennessee.

How do we start?

Book a call, or send a note below with one workflow you'd like automated. On the call we'll look at whether it's worth automating and what a first version would involve.

Bring one workflow that eats your team's time.

Tell us about the part of your week that shouldn't need a person. We'll look at whether an agent fits and what a first version would involve. If the answer is "don't do this", you'll hear that too.

One or two sentences is plenty. For example: our office manager re-types every online order into our accounting and scheduling tools.
